Document Controller

We are currently looking for a dynamic and motivated individual, possessing a solid business acumen and ability to work independently based on direction provided by the Engineering Management team.

Position Location: Regina, SK or Oxbow, Saskatchewan

Key responsibilities will include:

  1. Review the Supplier’s Data Requirement List with the QA Manager and Project Manager and devise a method to record, trace and follow up status of all documents with mentioned in the SDRL.
  2. Design the format of documents meant for submission to the client for approval.
  3. Ensure that document register is up-to-date and entries are correct. Submit and control with official transmittal, and/or provide copies of updated drawings/documents to client, shop floor and sub-vendors. All obsolete versions should be removed and archived.
  4. Prepare Drawing Control Procedures based on what the team requires and device Document Control and Management Standards for processes. Ensure all stakeholders involved with the project is aware of these procedures and how to follow them.
  5. Ensures that all drawings issued to the floor for construction are stamped as “Controlled” and recorded in the Drawing Tracer with the Drawing Number, Date, Quantity Revision of Drawing and Name of the Issuer.
  6. Compile and Transmit Progress Reports to Client to update them on the current progress based on the frequency determined by the Client.

The ideal candidate will have:

  1. Required to use advanced level of MS Office Suite including Word, Excel, Access and PowerPoint along with Adobe PDF and various File Transfer Protocol applications [FTP].
  2. Knowledge of manual or electronic document control systems will be considered an asset.
  3. Minimum of 2 years of document control work experience in the environment of welding and steel fabrication.
  4. Accuracy and attention to detail while working under tight deadlines.
  5. Excellent organizational, time management and prioritizing skills required.
  6. High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
  7. Internally motivated individual who is a self-initiator.
  8. Ability to read and interpret general arrangements and fabrication drawings will be considered an asset.
  9. Excellent interpersonal, communication, facilitation, and presentation skills.
  10. Excellent organization and time management skills.
  11. High school diploma or equivalent, with a college or university degree preferred, or an acceptable combination of education and relevant experience.
  12. Strong problem identification and problem resolution skills
  13. Ability to independently manage multiple activities and organize work to meet deadlines Flexibility to adjust to shifting priorities and deadlines.
  14. Post-Secondary Diploma in Information/Document Management or a suitable combination of education and practical experience managing documents would be considered and asset.
